When Should You Start Calling Registrants?

We recommend starting your outreach within 24 hours of each registration to maximize contact and confirmation rates.

Recommended Calling Schedule

  • Make the first call within 24 hours of registration.

  • If you don’t reach the registrant, make two additional call attempts over the following two-week period.

  • Space out your calls and vary the days and times you call to improve answer rates.

Once a Registrant Confirms

  • Stop routine outreach once the registrant has confirmed attendance.

  • Resume contact with a day-before reminder call prior to the event.

Voicemails & Text Messages

  • Leave a voicemail on every call attempt.

  • Send a text message after each attempt, if permitted by your compliance guidelines.

  • Be sure to log all calls and text messages in Trailmap.

Day-Before Reminder Calls

Call all registrants the day before the event, including:

  • Those who have already confirmed

  • Those who have not yet responded
