How Do You Log Calls in Trailmap?
Once you’re ready to begin logging confirmation calls in TrailMap, follow these steps to properly update registrant information and track outreach activity.
Accessing Your Event
Log into Trailmap.
From the left-hand menu, click Campaigns.
Locate your event by:
Selecting it from the Campaign list, or
Using the search bar to search by event name.
Review the event details at the top of the page, including:
Event title
Dates and times
Event type
Event address
Reviewing Campaign Analytics
Within the campaign dashboard, you can view:
Number of households registered
Number of confirmations
Attendance and cancellation totals
Call, voicemail, and text statistics
Logging Calls
For easiest use, select the Call View when logging outreach activity.
For each registrant:
Click the phone icon next to their name.
Select the appropriate call details:
Outbound Call
Confirmation or Reminder
Call Result (Confirmed, Voicemail, No Answer, Canceled, etc.)
Add any helpful notes in the Call Notes section.
Important Notes to Log
Be sure to document helpful details such as:
Running late
Bringing a guest
Requesting a different event date
Interested in future events
Bad phone numbers
Opt-out requests
If a registrant opts out of communication, notify the Success Coach or advisor’s office so they can be removed from future outreach.
Moving Registrants to Another Event Date
If a registrant cannot attend their selected date but wants another option:
Use the Move feature to transfer them to another available event date.
Adding Guest Information
If a registrant is bringing a guest:
Add the guest’s name in the registrant details.
Save the information so Trailmap updates accordingly.
Reminder Calls
Once a registrant confirms attendance:
No additional confirmation calls are needed.
Make one final day-before reminder call prior to the event.
Reminder calls are visually marked in blue within Trailmap for easy tracking
