Finding Campaigns in Trailmap
Trailmap Tips & Tricks
Here are some helpful tips and best practices for navigating Trailmap and efficiently managing confirmation calls and event registrations.
Searching for a Campaign
You can locate a campaign in multiple ways:
Use the search bar and type part of the campaign title.
Search by the advisor’s name.
Review campaigns by event date for a quick visual scan.
Verifying Event Details
Before calling, always confirm you have the correct event selected by checking:
Event title
Event date and time
Event details section
This helps ensure you are calling on the correct campaign and date.
Monitoring Event Capacity
Some events have maximum room capacities.
To track capacity:
Review the Analytics section.
Click the Individuals tab to see:
Total registrants
Number of confirmed attendees
This helps determine whether the event is approaching room capacity so you can notify the Success Coach or advisor as needed.
Using Call View for Easier Follow-Up
The Calls view makes it easier to track outreach activity and identify who still needs follow-up.
You can quickly see:
Who has only received voicemails
Who has not answered
Who has confirmed attendance
Who only needs a day-before reminder call
Filtering Registrants
Trailmap allows you to filter registrants by status, including:
Confirmed
Registered
Canceled
This helps you prioritize outreach and avoid unnecessary repeat calls.
Tracking Guest Registrations
Within the Individuals section, you can also see:
Which registrants are bringing guests
Guest counts associated with each registration
Helpful Navigation Tip
Instead of using your browser’s back button, use the navigation within Trailmap to return directly to your current campaign without being taken back to the dashboard.
Adjusting Page Display Settings
You can customize how many registrants appear on each page by selecting:
10 people per page
100 people per page
Or another preferred amount
Adjusting page size can make large calling lists easier to manage.
