Use the following script when making reminder calls the day before the event.

If the Registrant Answers

Hi [First Name], this is [Your Name] calling with a friendly reminder that the [Workshop Name] is tomorrow, [Date], at [Time], located at [Venue Name].

Would you like the address for the event?

(Provide the address if requested and allow time for them to write it down.)

Please plan to arrive a few minutes early to get seated, and we look forward to seeing you tomorrow!

If You Reach Voicemail

Hi [First Name], this is [Your Name] calling with a friendly reminder that the [Workshop Name] is tomorrow, [Date], at [Time], located at [Venue Name].

(Optional: Provide the address.)

Reminder Call Best Practices

  • Call all registrants who:

    • Have confirmed attendance

    • Have not canceled

  • This includes registrants you may not have previously reached by phone.

  • Keep the tone warm, professional, and concise.

  • Have TrailMap open during calls so you can quickly reference:

    • Event location

    • Event details

    • Registrant information

  • Log all reminder calls in TrailMap after each attempt.
