Second & Third Confirmation Call Script
Use the following script for your second and third outreach attempts if you were unable to reach the registrant on the first call.
If the Registrant Answers
Hi [First Name], this is [Your Name]. I’m reaching out again to confirm your reservation for the [Workshop Name] on [Date] at [Time].
Are you able to join us for this event?
If They Confirm Attendance
Wonderful, thank you! May I have the name of your guest, if you’ll be bringing one?
(Enter guest information into TrailMap.)
Thank you. I’ll give you a courtesy reminder call the day before the event, and we look forward to seeing you there!
If They Need to Cancel
Thank you for letting us know.
We host these events regularly and would be happy to reach out in the future with another workshop date that may better fit your schedule.
If They Are Still Unsure
These events are popular and often fill to capacity, so having an accurate headcount helps us plan appropriately and provide the best experience possible.
I’ll follow up again in a few days to see if you’re able to confirm at that time.
Best Practices for Follow-Up Calls
Space out second and third call attempts over the two-week outreach period.
Call on different days and at different times.
Continue leaving voicemails if the registrant does not answer.
Update all call outcomes and notes in TrailMap immediately after each call.
