Do Not Mail (DNM) List Scrubbing Process

To help maintain the accuracy of your Do Not Mail (DNM) list, we organize submitted records into four categories during processing:

NEW DNM Names to Scrub

This sheet is where you should add any new names and addresses you would like suppressed from future mailings.

After processing, records will be moved from this sheet into one of the categories below based on the validation results.


Verified Addresses

These are addresses that were successfully validated through Smarty address verification and were properly suppressed from your mailing list.


Invalid Addresses

These records could not be validated and returned one of the following results:

  • No Match — The address could not be verified. Common reasons include:

    • Incorrect house number

    • Misspelled street name

    • Missing street type (Rd, Ave, St, etc.)

    • Missing city, state, or ZIP code

    • Incomplete address information

  • Match – Non-Postal — The address exists, but USPS does not deliver mail to that location.

If you would like to correct or update any invalid addresses, you may add the updated information back into the NEW DNM Names to Scrub sheet for processing on your next order.


Missing / Incomplete

These records do not contain enough address information to process suppression. Examples include:

  • Name only

  • City, State, ZIP only

  • Missing street address information

You are welcome to update and resubmit these records through the NEW DNM Names to Scrub sheet.


Additional Information

  • Your DNM spreadsheet is yours to maintain and use going forward.

  • Due to the high volume of orders we process, we are unable to research or manually correct invalid or incomplete addresses, especially on large lists.

  • A link to your company’s DNM Google Sheet can be found in HubSpot under the Success Coach section on your company page.
